CLERK TYPIST II-ADMINISTRATIVE ASSISTANT PUBLIC BUILDINGS/ENGINEERING

Performs the full range of administrative assistant duties for the Engineering and Public Building departments relieving the management staff of administrative details to assure the effective operation of the department.
High school diploma and post high school education business or secretarial training. Three (3) to five (5) years progressively more responsible secretarial/administrative assistant work, including proficiency in typing, word processing, data entry and retrieval, Excel and Access. One (1) to three (3) years of experience in payroll, bookkeeping, and purchasing procedures; or any equivalent combination of experience, education and training which produces the desired knowledge, skill, and ability.
Duties and responsibilities including but not limited to;
Servicing the public through View Point Cloud at the counter by processing curb petitions, excavation permits, city maps/plat maps, sewer permits, new sewer impact fee applications through the process inspection forms, sell yard debris bags and appliance removal stickers. Answer phone, filing, open mail, answer e-mails, scanning documents and attaching to databases. File vendor receiving reports. Process vacation leave requests and maintain leave schedules for both divisions.
Set-up bi-weekly ADP pay cycle. Enter attendance into ADP payroll system, post on to attendance logs and complete Requests for Leave forms for the Engineering and Public Bldgs. employees. Prepare weekly timecards for distribution. Run pay cycle ADP payroll reports. Process vendor invoices by attaching receiving reports, enter into Sungard purchase requisition system and attaching purchase orders for payment by accounts payable. Inventory, order and receive janitorial supply orders. Make money deposits. Maintain supply budgets for the field and Engineering office supplies.
Monthly/Quarterly tasks; Cost out janitorial supplies ordered by other Dept/Divisions to be charged to them. Review monthly vendor statements and research past-due invoices. Escort the National Grid electric meter reader to basement electrical room so he can do the readings.
Annual; Assist with Capital Budgets for Engineering and Public Buildings Divisions. Do calculations for Engineering and Public Buildings budget. Set-up employee files and vendor files. Request permission from State to purge files.
